Since VoIP came on the telecom scene back in the early 2000’s it has grown in popularity and become a commonly used term in the business community. With more and more technology moving to internet/cloud based delivery it makes sense that our phones do the same.
VoIP offers many features that a legacy phone system doesn’t. When it comes to choosing a system that connects your business to the outside world, you have to take many factors into consideration.
That being said, we would like to provide you a brief list of pros and cons to VoIP systems. Remember, each business and each setup interact with VoIP differently. Some of these may or may not apply to your phone company. It is always important to consult a reputable vendor who understands both your telephone and your current IT setup first.
The VoIP Option: Pros & Cons Explained
Pros
Monthly Cost Savings: Perhaps the biggest advantage of choosing VoIP is the opportunity for monthly savings. Traditional systems depend on landlines (POTS lines) to connect your calls. Some VoIP systems allow you to cancel all landlines and connect calls via internet. This cuts out the middle (your phone company). Do not be fooled though. You still pay for service to this system on a per phone basis.
Lower Hardware Costs: VoIP systems are typically less costly up front. This depends on the type of system you are purchasing and the options your vender offers. Sometimes there is no upfront cost at all for these systems. However, we all know nothing in life is REALLY free. Many times when a company offers free hardware, they build that price into your monthly cost. Be sure to look into this before signing on the dotted line.
Versatility and Scalability: VoIP allows you to tailor your phones and features to your business needs. Systems come as basic or feature rich as you want. Do you need CRM features? Call parking? Auto attendant? Twinning? Presence Management? These are all features that VoIP can provide. It should be mentioned that PBX systems offer these functions too.
Portable/Professional: VoIP is great for people on the move. Switching from an office phone to a mobile phone? VoIP can make a switch between phones seamless. Imagine you are on the phone with a prospect and don’t want to hang up but you’ve got a meeting you have to leave for . . . with enhanced features you can press a button and transfer that call to your cell phone without the prospect even knowing you’ve left your office.
CONS
Sound quality: When transferring calls over the internet instead of a landline, there can be a decrease in the sound quality. VoIP takes up more bandwidth and depends on a strong internet connection for best call quality. Not only do you need a constant and steady internet connection, you also need to make sure that your bandwidth will support the demands of your office.
Power outages: VoIP requires power and an internet connection, so if power goes out you can expect service disruptions for your phones. Having one emergency landline or call forwarding takes care of this problem, in case an emergency ever arises.
Hidden Costs & Hardware Ownership: While we mentioned cost savings as a plus for VoIP phones, those same savings can bite you in the end. Be wary of a provider offering free equipment. This typically means they are charging you EVERY month for hardware. On top of that, many VoIP providers entice customers with great deals on hardware but aren’t clear about who owns what. If you aren’t clear about those finer details you may find yourself paying every month for years on hardware you don’t even own only to have it taken away when you switch providers.

Tips and Tricks to Help From Overpaying on Your Business Phone Bill
Pay close attention to your contract dates
While there is a certain expected increase in services over time, all too often companies are being overcharged every month by their service provider because they are out of contract.
Service providers don’t want you on a month to month agreement. They want to know they have your business for extended periods of time.
On top of this, the end of your current contract is a great time to see what else is out there. Even if you stay with the incumbent provider, you’ll know that you are getting the best rate and may be able to get a deal for sticking around instead of jumping to the competition.
Take a look at how your phones are serviced
Getting your business “in the cloud” is a big topic these days. With many different cloud based applications and even cloud based hardware, it is no surprise that your phones also have cloud options.
There are many types of phone systems available to you and they are serviced differently which means that they have different costs associated as well.
While we won’t dive into too much granular detail, your main options for a phone system are on premise digital systems, on premise IP based systems and other cloud based systems or VoIP (Voice over Internet Protocol) systems as they are commonly known.
At times, a VoIP system may offer a cheaper monthly expense but over time it may end up costing more than your traditional PBX or on premise solution.
We would recommend bringing in professional assistance before switching from an on premise system to a cloud based or VoIP system. There may be infrastructure costs or other back end costs associated with this switch you should be aware of before making the change.
Make sure all of the lines you pay for are in use
This may seem like a no brainer but as your organization grows and you have more phone lines in service, it is easy to forget that one or many might not be necessary.
The most common instances of these forgotten lines are dead extensions, fax lines or other dedicated office equipment lines and potentially even dedicated lines for security.
You obviously don’t want to disconnect these without investigating how it might impact things at the office – especially if the lines are dedicated to security.
We’d suggest having a professional technician come on site to test and document your lines if you believe you are paying for lines that aren’t being used.
Consider a PRI
A PRI is a Primary Rate Interface but the acronym is a commonly used term for phone bills and the telecommunications industry.
In a nutshell, a PRI is a circuit with a physical device on site that allows you to group multiple analog lines or DID (Direct Inward Dialing) numbers onto one circuit.
We’ve found that a PRI cuts down costs for companies with approximately 6 analog lines or more. Instead of paying a monthly fee for each of those lines, you pay a fee for the service to your PRI and an upfront cost for the hardware.
Of course, this doesn’t save you money in every instance but more often than not, using a PRI will cut your monthly bill a bit.
Check your bills regularly
There are many different reasons you want to check your phone bill every month.
Service providers may change rates, add fees or any other number of things and if you pay the phone bill without regard or even set it up on auto pay it may take months before you recognize the discrepancies.
The more comfortable you are with reading your phone bill, the more you will understand about the different fees and charges and the less likely you are to have random fees or charges go unnoticed.
When all is said and done, we suggest taking a deeper look into your phone bills about every 6 months. You can do this yourself or task an outsourced firm to do it. There are even brokers out there that you can contract to shop rates and ensure you get the best deal.

Jan 12, 2021In the early days of the pandemic, several major groups of hackers pledged that their activities would not be aimed at institutions that were engaged in vaccine research.
There was at least one high profile instance where the agreement was violated, but for the most part, the hackers kept their word. Research facilities were left largely alone. A bit later, there were some attacks launched against research groups.
The evidence suggests that these attacks were conducted by groups backed by nation-states; rival nations attempting to jumpstart their own vaccine development.
Although there was a window of time where hackers left research organizations alone, the healthcare sector as a whole has become an increasingly attractive target for hackers around the world. It's easy to understand why. After all, personally identifiable patient information as easily as valuable as credit card information, and often even more so. Then there's the fact that patient information also contain payment card data on top of all the other juicy tidbits a hacker can easily gain access to.
During the holiday season in late 2020, a massive number of people passed through the nation's airports, indicating that the CDC's plea to stay home and keep holiday celebrations small fell on deaf ears.
That is now beginning to translate into a massive surge in covid-related hospitalizations, which makes hospitals and healthcare companies connected to them all the more tempting as targets. That is why we're seeing an similar surge in attacks against those types of institutions. In fact, since November, according to data collected by Check Point, attacks are up more than 45 percent.
If your company is in any way connected to the healthcare industry, it pays to be mindful that you are at more risk now than you have been in previous months. Stay vigilant. Things are likely to get worse before they start getting better.
